Refund Policy

At BuildFlux, we are committed to delivering high-quality automation and systems engineering services. This Refund Policy outlines the terms under which refunds may be provided for our services.
We encourage open communication throughout every engagement. If you have concerns about our work, please contact us immediately so we can address them.
2. Service-Specific Policies
Process & Automation Diagnostic
The diagnostic fee is due upon engagement commencement and is non-refundable once work has begun. This is because the diagnostic involves significant upfront effort including stakeholder interviews, process mapping, and analysis.
- Before work begins: Full refund available if cancelled within 48 hours of payment
- Work in progress: Partial refund may be considered based on work completed
- Diagnostic delivered: No refund available after delivery of diagnostic report
Implementation Sprints
Implementation sprints are structured with milestone-based payments. Refund eligibility depends on the milestone stage:
- Before sprint starts: Full refund of any advance payment if cancelled before work begins
- During sprint: Payment for completed milestones is non-refundable; payment for incomplete milestones may be refunded
- Sprint completed: No refund available after milestone acceptance
Stewardship (Monthly Support)
Stewardship fees are billed monthly in advance and cover the upcoming month's support:
- Cancellation: You may cancel at any time with 30 days written notice
- Current month: No refund for the current billing period
- Future payments: No charges will be made after cancellation takes effect
3. Satisfaction Guarantee
We stand behind the quality of our work. If you are not satisfied with a deliverable, we will:
- Review your concerns: Schedule a call to understand the specific issues
- Revise the work: Make reasonable revisions to address legitimate concerns at no additional cost
- Reach resolution: If revisions do not resolve the issue, we will work together to find a fair resolution
Our goal is always to ensure you receive value from our services. Refunds are considered on a case-by-case basis when revision is not possible or practical.
4. Requesting a Refund
To request a refund, please:
- Email us at hello@buildflux.studio with the subject line "Refund Request"
- Include your firm name and the service in question
- Describe the reason for your refund request
- Provide any relevant documentation or correspondence
We will review your request and respond within 5 business days.
5. Refund Processing
Approved refunds will be processed using the original payment method:
- Bank transfers: Refunded within 5-10 business days
- Credit/debit cards: Refunded within 5-10 business days (may take longer to appear on your statement depending on your bank)
- Other payment methods: Processing time varies by method
Any applicable transaction fees may be deducted from the refund amount unless the refund is due to our error.
6. Exceptions
Refunds will not be provided in the following circumstances:
- Change of mind after services have been delivered and accepted
- Failure to provide access, information, or cooperation necessary to complete the engagement
- Issues arising from client-side technical problems or third-party services outside our control
- Requests made more than 30 days after service delivery
- Situations where the client has violated our Terms of Service
7. Cancellation by BuildFlux
In rare circumstances, we may need to cancel an engagement. If BuildFlux cancels:
- You will receive a full refund for any services not yet delivered
- We will provide reasonable notice and assist with transition if needed
- Any completed work will be delivered to you at no additional charge
8. Disputes
If you disagree with our refund decision, we encourage you to contact us to discuss the matter further. We are committed to finding fair resolutions for all parties.
If we cannot reach an agreement, disputes will be handled in accordance with the dispute resolution procedures outlined in our Terms of Service.
9. Changes to This Policy
We may update this Refund Policy from time to time. Changes will be posted on this page with an updated "Effective Date." The policy in effect at the time of your purchase will apply to that transaction.
